Data mapping best practices for product data.
Data mapping is the foundation of every successful PIM implementation. Getting it right saves hundreds of hours of manual work and prevents years of data drift. This guide outlines the best practices ConnectingTheDots applies to product data onboarding: because good product data starts before your PIM.
1. Start with a source analysis.
Ask every supplier or source system for a representative sample: at least 1,000 records, not just a handful. Audit the field names, data types, units of measure and the occurrence of empty or null values. Without this step, you risk building your mapping on assumptions rather than reality.
2. Define transformation rules per field.
For every target field in your PIM, identify the authoritative source, the fallback logic and required conversions (such as units, colour names or boolean values). Establish which validation rules apply and record these in a mapping document to ensure Control over product data.
3. Validate with realistic samples.
Run your mapping on a thousand actual records rather than synthetic test data. Manually compare the output against the source. Track how many records import successfully, which ones trigger warnings and how many fail entirely to ensure high data quality from the start.
4. Automate and orchestrate.

5. Document and version.
Data mapping is an evolving process. Implement versioning, maintain a changelog and assign ownership to prevent a situation where no one understands the logic behind a specific column a year from now. How long does a data mapping process take?
For an initial source, it typically takes one to three days. Subsequent sources are processed much faster by leveraging reusable rules and existing logic within the platform.
